STEC currently has an open position for an Administrative Assistant at its Nursery, Texas location. The Administrative Assistant prepares documents and reports, performs technical duties, and provides customer service to visitors. Works with Department Heads and other employees and the general public on matters pertaining to member services. Provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
Duties
- Handling administrative requests and queries from senior managers.
- Prepares and compiles periodic reports, binders, and pamphlets.
- Prepares responses to correspondence containing routine inquiries through developing and typing documents.
- Proofreads correspondence, reports, and other materials for spelling, grammar, and layout and makes appropriate changes.
- Responsible for accuracy and clarity in written documents.
- Greets and assists customers with a variety of tasks to include receipt, verification and proper processing of various documents and records.
- Performs administrative duties such as filing, faxing, photocopying, and printing.
- Maintains filing system for the office to include all files, both paper and electronic documents.
- Submits receipts, expense reports, mileage sheets and ensures time sheet completions.
- Serves as the main contact for phone calls, call directing to appropriate individuals or taking messages.
- Arranges and coordinates conferences, meetings, or travel for office personnel.
- Performs other duties, tasks and special projects as assigned.
Working Conditions
General office and sedentary, although some filing is required. Regularly required to talk or hear. May frequently be required to walk; sit; use hands to finger, handle, or feel; reach with hands and arms. Occasionally required to stand. Specific vision abilities required by this job include close vision and distance vision. Use of personal computing equipment, telephone, multi-functioning printer, photocopiers, filing cabinets, fax machines, and calculator. Manual dexterity, ability to lift files, open file cabinets, ability to reach, and bend, and use 2-step stool while safely lifting and lowering boxes. Ability to travel to and from meetings, training sessions or other business-related events. May be required to work after hours to include weekends and holidays.
